SFDC Global Search – Key Points

Salesforce has a powerful tool i.e. “Global Search” to search the required record(s) across the org. Before we begin using Global Search, It’s important to understand how to fully utilise this feature.

Key Points

  • Search keyword is not case sensitive.
  • A user should have access to a record to be displayed in the search results.
  • A user should have field visibility to be displayed in the search results.
  • A few type of fields are not searchable like formula, lookup etc.
  • To have searchable custom object, a checkbox “Allow Search” should be marked as true on the object creation page. (You can mark this field as true even after creating an object by editing the object detail page.
  • Search result display page shows 5 or less records of an object. Click “View More” option available on right side of that object section to view a complete list of records.
  • Use of wild character in search:
    • (*) – Use of asterisk either at the middle or end of a partial word will retrieve the related records. For example, to fetch all the records related to United word, add ‘*’ at the end of Unit* or in the middle Uni*d. Please note that use of ‘*’ at the beginning does not work.
  • (?) – Use of question mark(s) either at the middle or end of a word can fill only one character and retrieve the related records. For example, to fetch all the records related to United word, add ‘?’ at the end of Unite? or in the middle Uni?ed or Un?t?d etc. Please note that use of ‘?’ at the beginning does not work.
  • Fuzzy Search
    • Search tool finds the records for your incomplete word as well. For example search using Un will give all the related records.
  • It also can find the related records based on incorrect word. For example search using uniited will give all the related records.
